Duties and Responsibilities Office management • Maintain central filing, unit stationery such as letterheads, envelopes, labels etc • Maintain generic office supplies, copier paper, stationeries, fax machine, copier machine, etc • Maintain research group web pages, including translations from English into Mandarinand vice versa Administration • Handling incoming and outgoing mail • Organise couriers both local and overseas • Arrange travel arrangements for the group (internal travel application, ticket booking, visa, hotel, car transfer, travel insurance) • Telephone enquiries from external parties • Compile expenses claim for signing and internal processing (taxi vouchers, travel and finance related matters) Secretarial/PA • Set up appointments and meetings and manage diaries • Set up and maintain filing system • Arrange business/personal travels and errands • Organise meetings, including training meetings, regional meetings and international meetings • Expense report completion • Medical claims processing from employees in the unit (if applicable) • Support college training requirements • Assist in the translation of documents, including scientific grant proposals, from English into Mandarin and vice versa HR management • Maintain student records • Assist in the communication between research students and faculty members • Assist in the compilation of student evaluation and progress reports Role • To act as the personal assistant to the foreign faculty members • Provide supporting assistance directly to foreign faculty members, head of department and executive dean • Office management and secretarial duties for research groups • To represent foreign faculty and their interests to other parts of the organization and externally • Liaise with other PA’s/secretaries within CEAS to exchange/share information and to apply best practices • Liaise with PA’s/secretaries of international collaborators to exchange information and prepare visits to NJU 职位名称：（外语）秘书/ PA 报告：外籍教授 基本目的：为学院外籍教员提供在行政、国际关系、基本人力资源和财务管理、特设项目 和秘书职务等方面的帮助。 义务和责任 办公管理 维护文件管理系统，单位文具如信纸，信封，标签等供给， 维持一般办公用品供给，复印纸，文具，传真机，复印机等， 维护研究小组的网站，包括中英互译。 行政 处理来往邮件， 整理国内国际快递， 负责实验组的出差事宜（出差申请，机票预订，签证，酒店，汽车接送，旅游保险）， 承担外来电话的接待， 处理各项报销（日常打车费，出差及其他财务相关事宜）。 秘书/ PA 预约会谈，做工作纪要， 文件归档及维护， 安排商务/个人旅行和相关事宜， 组织会议，包括培训会议、区域会议和国际会议， 完成财务报告， 实验组人员的医疗报销（如适用）， 协助文件翻译，包括科学基金申请，中英互译。 人力资源管理 维护学生记录， 协助研究生和教职员工的交流， 协助整理学生评价和进度报告。 角色 担当外籍教员的私人助理； 实验组办公室管理和充当秘书一职； 在外代表外籍教员及其利益； 与学院其他秘书/Pa联系，交互、共享信息以使工作更高效； 与国际合作者的秘书/PA联系，交互信息，为合作者来访做准备。 [ Last edited by isa0210 on 2016-12-5 at 15:47 ] |
